PRI DATA ARCHIVE CODEBOOK POLICY

Due to the lack of storage space and the frequency of updates being made to datasets, hard copy codebooks will only be made available when it is the only media available or by special printing request when electronic copies are available.

PLEASE REMEMBER...

  • To check the library/data-archive catalog before making a printing request. If a hard copy has been taken out, it can be recalled.
  • Electronic copies are often more current than printed copies. We attempt to keep up with all updates made to datasets and codebooks. However, electronic files are easier to update than printed copies.
  • Electronic codebooks are located on Soda Pop web pages and on PopNet. The PopNet location is listed on each individual dataset web page.
  • Electronic copies are sufficient when exploring a dataset. Unless you are certain you are going to use a dataset, a copy from an electronic version should not need to be printed. If a hard copy exists in the catalog, it can be recalled.

Students may make printing requests on the following conditions:

  1. A hard copy does not exist in the library collection at present and it is necessary for research/class project/paper/etc. The newly printed codebook will be cataloged and must be signed out.
  2. The codebook only exists in hard copy and it is necessary for research/class project/paper/etc. A new copy will then be made and cataloged for sign out.

Faculty members may make printing requests on the following conditions:

  1. A hard copy does not exist in the library collection at present.
  2. The codebook only exists in hard copy and it is necessary for a research project.
  3. Faculty may request an additional copy of a codebook be added to the library/data archive collection. Additional copies may be needed in the case of student class projects and for graduate assistants.
  4. Faculty may request one personal copy of a codebook being used for a research proposal/paper/project. Additional personal copies may be requested and charged to the faculty member's grant. Additional codebooks paid for by PRI are considered data archive copies and will be cataloged; however, members of the project team will have the first opportunity to sign them out.
